Another Source’s client, Sabey Corporation, is recruiting a Property Management Coordinator to join their Sabey team in Tukwila, WA.

Sabey Corporation is a 45-year-old privately held Seattle based full-service commercial real estate company with an outstanding reputation.  The Company is primarily engaged in data center, office, and industrial property development, construction and operations with ownership in the Pacific Northwest and on the east coast.     

  

About this role:    

The Property Management Coordinator is an entry-level role that provides administrative and operational support for the Property Management Department.  We are seeking a person who is excited about problem solving, process improvement, organization, accounting functions and team building.    

  

Primary Responsibilities 

  • Provide support to the engineering team for expense reports and purchase orders.  
  • Manage the service request system, to track service trends at each location and provide reports to Property Managers and Engineers.   
  • Track outstanding service requests to ensure completion and excellent customer service.  
  • Assist PM’s with monthly or quarterly variance reports and general ledger reviews.   
  • Provide quarterly open PO review with engineering & PM staff to ensure invoices are received and closed out.  
  • Assist with tenant move in/move out coordination, including tenant signage, etc.  
  • Create Major Expenditure Reports (MER’s) as directed and route for approvals.  
  • Administer and manage the secure key storage & management system.  
  • Create and manage a Property Inspections Program for the PM team.   
  • Work closely with the Legal department on the MyCOI Insurance module and provide on-going management of vendor insurance certificates.  
  • Contract management – set up new contracts and provide updates as needed.   
  • Assist the administrative team at the front desk with back up support as needed.  
  • Help support the Engineers with maintaining the Yardi database with updated contacts and phone numbers.  
  • Create and update tenant welcome packages along with welcome gifts and tenant handbooks.  
  • Update the Energy Star system with current utility information as required for each facility. Work with PMs to attain Energy Star labels at applicable locations.  
  • Complete access card request changes and support for north end staff.  
  • Assist with the creation of the monthly engineering meetings, order lunches, arrange handouts, and ensure Engineers have arranged for speakers/topics.  
  • Assist with planning and arrange quarterly PM department team building/fun events   
  • Provides support to prepare, maintain and distribute annual Budget and Reconciliations for commercial and data center properties.  
  • Track & build Annual Budget packages to ensure an on-time delivery to partners.  
  • Assist with the maintenance for all utility tracking & evaluation (electrical, water, gas, etc.).  
  • Chair the safety committee meeting at the corporate office, with coordination of required meetings and documentation.  
  • Champion the Sabey University learning for the PM department to ensure everyone is participating.   

  

Qualifications 

  • 1+ years of administrative experience and knowledge of Yardi accounting software is a plus  
  • Strong sense of customer service with good analytical and organization skills  
  • Ability to write correspondence letters or reports with knowledge of MS Office365 products   
  • Ability to work in a fast-paced environment, prioritize tasks and meet deadlines  
  • Detail Oriented with exceptional written and verbal communication skills  
  • Enjoys being part of a team and working with multiple teams at once  
  • Ability to work in a fast-paced environment, prioritize tasks and meet deadlines  
  • Commercial Property and Accounting experience preferred  
  • Must possess a valid state-issued driver’s license
